Position Title: Administrative Assistant - CO
Reports to: Director
Status: Salary, Non-Exempt
Position Summary:
Responsible for assisting the Director in day-to-day administrative functions in order to increase time for Director-level responsibilities. In addition to the criteria listed below, this Administrative Assistant must be professional and able to represent the Director at meetings when necessary.
Major Responsibilities:
• Prepares meeting documents, composes letters, and takes dictation
• Creates typed materials, faxes, and copies
• Makes arrangements for travel and accommodations
• Takes phone calls and messages for the Director and makes phone calls on behalf of the Director
• Answers all phone calls, routes calls as needed, and provides general information to callers for a small but busy office
• Follows-up with donors, Advisory Board and Chapter Board members
• Responsible for office supplies including maintaining appropriate inventory, ordering, and tracking paperwork for finance
• Prepares all correspondence that leaves the office, including but not limited to thank you cards, inquiry packets, development paperwork, and reports
• Manages e-mail account and personal calendar for Director, arranges appointments, meetings, conference calls, etc.
• Assists Director with fundraising activities
• Tracking and assisting with feasibility study
• Creates and maintains donor and client databases
• Manages office operations in absence of Director
• Other duties as assigned
Minimum Requirements:
• Bachelor degree preferred or equivalent experience
• Proficient in Microsoft Word, Outlook, and Excel
• Strong knowledge of and ability to work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner
• Concise grammatical skills, excellent oral and written communication skills
• Excellent proofreading skills
• A wide degree of creativity and latitude is expected
